Team members and roles

Invite the staff who run GolfPass with you, understand what admins and viewers can each do, and remove access when someone leaves.

Updated 7/27/2026

You don't have to run GolfPass alone. Invite the staff who check golfers in, send messages, or manage settings, and give each the right level of access. You manage this from the Team page.

Inviting someone

    1. Go to Settings → Team.
    2. Enter the person's email address and send the invite.
    3. They receive the invite, accept it, and set a password.
    4. They're in, with the access level you chose.

Understanding roles

Roles control what each person can do. In general:

  • Admins can change settings, manage integrations, edit branding, send messages, and manage the team. Give this to managers and anyone responsible for setup.
  • Viewers can see the dashboard and look things up, but can't change settings. This is ideal for front-desk and pro-shop staff who need to find a booking or check a golfer in without the ability to alter your configuration.

A good rule of thumb: give people the least access they need to do their job. You can always raise it later. Fewer admins means fewer chances for an accidental change to your branding, integrations, or messages.

A simple way to decide

This person…Give them…
Manages the club / sets things upAdmin
Sends messages or edits brandingAdmin
Works the desk, checks golfers in, looks things upViewer

Removing access

When someone leaves the club, remove them from the Team page so they can no longer sign in to your club. Do this promptly as part of your normal off-boarding.

A note on brand-new invitees

When a person creates a fresh GolfPass account, the system automatically sets up a club for them. So if you're inviting a teammate who has never used GolfPass before, the cleanest path is for them to accept your invite directly. If their access doesn't land on your club as expected, ask the assistant — your question is logged for our team to sort out the link. Inviting someone who already has a GolfPass login attaches cleanly.
