The golfer didn't get the email

What to check when a golfer says no pass email arrived — the email address, spam folders, sync timing, and the integration — plus how to re-send.

A golfer booked but says no pass email arrived. This is almost always one of a few simple causes. Work through them in order.

The checklist

    1. Check the email on the booking. Open the reservation in your tee sheet and confirm the golfer's email address is there and spelled correctly. A missing or mistyped address is by far the most common cause — GolfPass has nowhere to send the link. This is the first thing to check, every time.
    2. Ask them to check spam and promotions. Wallet emails sometimes land outside the main inbox, especially the first time a golfer receives one from you. Have them search their mail for your club's name.
    3. Confirm the booking actually synced. A pass email goes out only after GolfPass has picked up the booking, which happens every few minutes. If the booking is brand new, give it a little time. See How tee-sheet syncing works.
    4. Check the integration is healthy. If the connection on the Integrations page is in an error state, no passes — and no emails — are going out for anyone. Reconnect it. See Connecting Lightspeed Golf or Connecting ChronoGolf.

How to tell which one it is

  • Only one golfer affected? It's almost certainly their email address or their spam folder.
  • Nobody is getting passes? Suspect the integration — check it's healthy first.

Fixing a wrong address and re-sending

If the address was wrong:

    1. Correct the email in your tee sheet. GolfPass picks up the change and can deliver the pass to the right address.
    2. If needed, re-send the pass from the booking under Tee-time passes (or from the player under Player passes).

Prevent it for next time

Two things dramatically cut down "I never got my pass":

  1. Capture a valid email at booking — online and at the desk. No email, no pass.
  2. Send from your own domain. Golfers are more likely to receive and trust an email from your club's address. See Sending from your own email domain.

Tried all of the above and a golfer still isn't receiving anything? Ask the assistant — your question is logged so our team can investigate the specific case.
